Position Title: Office Assistant

Reports to: Director of Finance and Administration

Non-Exempt Status Part-Time

Organizational Overview: United Way of Central Illinois (UWCIL) is an independent not for profit organization and the service area includes Sangamon and Menard counties.

Summary of Position: Supports the Director of Finance & Administration with daily financial transactions of United Way of Central Illinois by processing payables, pledge invoices, transactions and other duties. Provides administrative support to the CEO.

Qualifications:

Associate’s degree in Accounting, Finance, or Business from an accredited college. Two to three years’ experience in accounts receivable. Experience with accounts payables, accounting software and CRM software preferred.

Skills:

· Familiarity with general accounting transactions.

· Strong computer background and proficiency with database management.

· Proficiency in general office and administrative support and in operation of equipment and machines.

· Ability to work with committees and boards to meet reporting needs of the organization.

· Ability to multi-task and ability to prioritize, plan and coordinate responsibilities.

· Ability to work effectively under pressure, to be part of a team and to meet deadlines.

· Demonstrate good communication and interpersonal skills.

· Experience with Microsoft Office

Key Responsibilities:

Leadership:

· Participates as a member of the team in strategic planning and implementation to accomplish UWCIL mission.

· Represents UWCIL as needed in public venues such as special events, community activities, and organizations. Requires flexible schedule to attend events that may occur in the early morning, evening and weekends.

· Works closely with the Director of Finance & Administration and the Resource Development staff to support ongoing data cleanliness that is critical to philanthropic efforts.

· Attends appropriate meetings, seminars, and events.

Finance & Administration:

· Provides customer service (both internal and external) including assisting donors with questions, following up with corporate partners and UWCIL staff for more information regarding a payment, and identifying and following up on past due accounts.

· Generates monthly billing statements and miscellaneous invoices as needed.

· Handles general accounting support tasks.

· Provides administrative support for CEO.

· Responsible for office systems including telephone, printers and copiers, ordering of supplies, and filing.

· Provides exceptional customer service as the initial point of contact on incoming office calls

· Supports Board of Directors and Executive Committee, including assisting with calendar management, meeting scheduling, and meeting minutes.

· Assists Development and leadership in managing special events, including event registration and general staffing.

· Takes on special projects as directed.

Database/CRM

· Processes employee giving campaign pledges.

· Data entry of designations, updates, and changes within the CRM.

· Record gifts in the database in a timely and accurate manner that conforms with United Way's accounting standards and donor stewardship best practices.

Employees must drive to and report to various locations to perform work on occasion.
